President: Trains and leads the officer staff, but is always prepared for inevitable shortfalls. Designs a printed agenda for the meetings which are used to record business and program activities. (These simple printed sheets are important, as they can be used to record activities of the meetings and for training purposes.) Conducts, with the VP, Treasurer, and an impartial member a beginning- and end-of-year audit of the books. Is primarily responsible for arranging for Lecturers. Vice President: Is primarily responsible for arranging all normal club meetings - that is arranging teachers and topics for the Early Bird Workshops, setting forth an agenda for meetings. Ideally these normal meetings will include teaching, performance and fun social activities to grow and expand the abilities and knowledge of the club. Briefs the program moderator/emcee and provides him/her an agenda sheet to collect information regarding what each member will present and a short introduction of the performers; these sheets, filled out by the emcee, help him/her introduce performers/lecturers and provide the secretary backup data for the minutes. The VP selects, briefs and sets up the programs for each meeting. He stands in for the President when he/she is not present. Conducts, with the President, Treasurer, and an impartial member a beginning- and end-of-year audit of the books. Secretary: Receives and responds to all mail correspondence. Takes notes of club meetings including performances and drafts a monthly Newsletter for the club. The Secretary also creates a 400-or-less-word report to submit to IBM. The Secretary prints and mails out the Newsletter to the non-email capable members (which includes some shops and contacts for other area clubs) and transmits it to the Webmaster who posts it online. This Newsletter serves as a meeting reminder and includes comments regarding the topics for the meeting and what each member should study or prepare for to participate at the meeting. Periodically, (every other month) coordinates with Treasurer to maintain an accurate membership list to include dues paid, phone numbers, e mail addresses, and mailing addresses. Has membership applications (both for Ring 216 and IBM) to distribute at meetings when requested. Prepares most printed advertising/promotional material for club events (Lectures, Socials, etc.). Prints and distributes these as appropriate. Provides receipts for expenses to the treasurer. Webmaster: Responsible for keeping the Ring 216 website up to date, sending E-mail notifications and handling incoming e-mail contacts. Sends an e-mail notice of the meeting at least two days prior to any meeting. Records and maintains a file of minutes from officers meetings. Serves as a back-up to the Secretary. Treasurer: Receives and disburses all funds, in accordance with by laws and will of the membership. Provides a monthly report of income, expenditures, and balances, and reasons therefore. Collects all funds for club events. Stands in for Secretary and Sergeant-At-Arms when necessary. Monitors status of members (i.e. paid up or not) and contacts members as necessary to keep them current. Has membership applications to distribute at meetings when requested. Provides to the Secretary and the club a summary of the club monetary standing and current membership counts. Provides a beginning and year-end report of audit to the membership. Provides back-up notes taking when requested or necessary. Sergeant-At-Arms: Maintains general order in the meeting place. Arranges for refreshments to be available. Escorts visitors or honors recipients to the podium for introduction/presentation. Fills in for the Treasurer and Secretary when they are absent. Keeps a roll of members and guests present at each meeting. Provides the guest list to the President for introduction. Provides back-up notes taking when requested or necessary.
All Officers are expected to attend a monthly meeting to prepare for future meetings and events.
